Your accountant can prepare year-end accounts faster when the documents are complete and organised. You do not need complex software to start; a consistent file system is often enough.

Purchases and expenses Supplier invoices, receipts, staff claims and utilities
Payroll Payroll summaries, statutory contribution records and staff reimbursement claims

Loans and directors Bank loan statements, director advances, reimbursements and related-party transactions
Inventory Stock count and inventory valuation information, where relevant
Other commitments Rental agreements, insurance, major contracts and deposits

Five common reasons year-end accounts get delayed

  1. Several months of bank statements are missing.
  2. Sales from Shopee, a point-of-sale system or payment gateway do not match bank collections.
  3. Directors pay business expenses using personal cards without keeping receipts.
  4. Large purchases are recorded without invoices or supporting agreements.
  5. Unclear transfers are posted without explanations.

A short monthly review can prevent most of these problems. See our monthly bookkeeping checklist.

What should you do if records are incomplete?

Start with the bank accounts and highest-value transactions. Make a list of missing documents, explain unusual transfers and keep copies of supplier and customer messages where needed. Avoid inventing invoices or altering transaction dates just to make the records appear complete.

Do accounts need to be audited?

Whether a statutory audit is required depends on the company and relevant SSM requirements. Audit exemption does not mean accounts can be omitted. Our audit coordination page explains how preparation and independent audit work differ.
